Purpose of the collecting and processing of your data

Any information you provide to us with any identifiable information, including opinions and concerns, along with personal identifiers, can be used by the council for the strict purposes of informing the projects where the project deliverable will affect the individual or group.

Any information provided will be shared only within the Green Spaces team, and for the aforementioned purposes. When using any data provided, Green Spaces will follow the Council’s Data Protection and Privacy Commitment, and the six Data Protection Principles, ensuring that any privacy risks are identified and minimised when handling sensitive data.

This form recognises that  (GDPR-defined) special data is required to be handled with extra sensitivity, all those handling personal information must be aware that any data protection breaches involving these categories will have correspondingly more serious consequences for the data subject and the Council.

No provided data will be used in conjunction with Artificial Intelligence (AI), or any AI-driven tools.

Requesting access and correction of inaccurate data

If you would like to request access to your data, please submit a form request on the Warwick District Council’s Website. Within 10 days a document containing any data will be provided.

Upon receipt of any form, if data is desired to be corrected to reflect a better uunderstanding ofthe individual or group, please submit a change request with the form. Following the form, there will be opportunities to provide updated documentation for submission, via email.

If you would like Warwick District Council to maintain your record of opinion or concerns, but remove or pseudonymise any personal identifiers, leaving general demographic information, please specify so.

Storage limitations and justification

Warwick District Council (WDC) agrees to hold any data for a maximum of 20 years following submission. The justification of this period is to provide any project managers within the Green Spaces team a historical record of the opinions, attitudes, and concerns towards certain project types, or demographics. This record helps provide a starting point for projects and helps identify any gaps in engagement that could be useful for understanding a project’s impacts on the community, and/or allowing WDC to reach out to these individuals and/or groups.

Right to be forgotten:

All individuals have a right to deletion of data, this can be carried out by submission of form, and within 30 days all data associated with a supplied unique personal identifier, such as an email or phone number, will be removed from Warwick District Council systems.
