Depending on which way you join the meeting, these may be visible to other participants in the meeting, including other registered speakers. In addition, please be aware that if you decide to join the meeting by calling in from a landline or a mobile phone, the number will be visible to both the meeting participants and those watching the meeting on YouTube during the time that you speak. Warwick District Council can take no responsibility for any misuse of the personal details arising from your phone number being visible at the meeting and you agree to this risk when dialing in. Due to the software which is being used by the Council, there is currently no viable alternative to having your phone number broadcast and, should the Council continue using this meeting format in the future, it will explore alternative options to avoid this processing of personal details. By you registering to speak and joining the meeting, you give your consent to the Council processing your personal data in this way.

When speaking at a Remote Planning Committee meeting, your remote attendance will be video-recorded and livestreamed on the Council’s YouTube channel, or any other such platform Warwick District Council may choose to use in the future. The recording including personal data as outlined above will then be publicly available on this platform for up to a year after the meeting took place. NB: Please note that to participate in the meeting, you do not have to share your video, only your audio. As Warwick District Council have a legal responsibility to record Planning Committee Meetings and make them available for public viewing, removing consent for the processing of your personal data after the meeting has been recorded will not remove the responsibility for Warwick District Council to retain and process your personal data contained within the recording, including in relation to public requests for the recording.

If you decide to share your video, please remember that your surroundings may be visible to those watching the meeting. It is your responsibility to ensure that you do not share any sensitive information in this way.

The Council expects all participants in its meetings to behave in a courteous and respectful manner at all times. This extends to not just the way you conduct yourself during the meeting, but also to what else you share if you use video. Anything of a discriminatory, racist, obscene or defamatory nature, or otherwise deemed as offensive by the Council, will not be tolerated and the Council reserves its right to cease your participation in the meeting at any time.
